Online meeting options
- You can send an invitation to anyone, even if they don’t use Office 365. They will be able to connect through the sent link using a web browser.
- Unregistered participants must be approved by the meeting organizer.
- Repeat appointments can also be scheduled.
- It is possible to insert a physical meeting point and have an online meeting ready for remote participants.
- The maximum number of participants in an online meeting is 300.
How to schedule an online meeting in MS Outlook on your computer:
Tap the Teams icon in the tab bar in Outlook Calendar.
Enter the necessary information about the meeting (time, participants, information…) and click Send. Invitations will be sent to all participants.
If you don’t want to send out the invitation, leave the attendee field blank and just save the event instead of sending it.
You can then forward the “Join a meeting via Microsoft Teams” link to meeting participants in other ways – via chat, post it on the web…

Connecting to an online meeting

If you are using MS Outlook, it will remind you of an upcoming meeting and offer you to connect. It is also possible to connect from a calendar event.

In any calendar and mail client, there is a link in the message/event content to connect to the event.

When you enter a team’s channel in the invitation, the option to join the meeting will also appear in that team’s channel.

How to schedule an online meeting in MS Outlook on the web:

Mark the appointment time, fill in the necessary information and click on More options.

In the meeting location selection, select Add online meeting and Meeting via MS Teams. You can attach a document or insert a link in the meeting description.

Click Send.
If you do not want to send the invitation, do not fill in the recipients and click Save.
You can then forward the “Join a meeting via Microsoft Teams” link to meeting participants in other ways – via chat, post it on the web…

How to schedule an online meeting in MS Teams:

Click the calendar icon in the MS Teams sidebar.

Mark the time in your calendar when the meeting is to take place. A window with the properties of the meeting will appear.
Enter the desired participants:
- External addresses without a Microsoft account can also be participants, e.g. adresa@gmail.com.
- if you don’t want to invite participants, just create a link to the meeting that anyone can use, enter your own email address
- you can also invite security groups, Office 365 groups or teams
- if the meeting is for a team or class, click on the add channel field, select the desired team and any of its channels. Non-team guests will be able to attend the meeting, but will not be able to use the chat.
Click Send. The invitation will be sent to all specified recipients and to all team members (if selected).

If you need to invite other recipients to the meeting, open the meeting and send out the Join Meeting link or perhaps share it on the web.

Open the appointment from the calendar and tap Appointment options.

In Meeting Options, you can choose who can join the meeting without approval and who can take over the presentation. Only the meeting organizer can set the meeting options.
Attention! By default, all meeting participants can present. The options Allow callers to skip the hallway and Notify when callers connect or disconnect apply to participants who join the meeting via a regular voice call over the phone.
