Study stay – step by step

For whom is the study stay

For students who want to study at a foreign university within the Erasmus+ programme (typically at a partner institution).

What to clarify at the beginning

  • When I want to go (semester/term) and if it will not interfere with my DF classes.
  • What type of school am I looking for (ideally related to the field/specialty).
  • That the study stay needs to be planned and discussed with the faculty in good time.
  • How it all works:
    consultation → application → approval → foreign school → paperwork → return

First discuss the trip with the studio manager / supervisor who approves the study stay.
The goal is to make arrangements:

  • suitable date and length of stay,
  • impact on teaching and performance,
  • a basic framework where an exit would make sense.

After the preliminary approval of the head of the studio/trainer, discuss the next steps with the DF Foreign Office (DF Foreign Office):

  • choice of country/school,
  • practical procedure and deadlines,
  • working with the system and documents.

Studentships are submitted through the ISOIS system.
This also includes consent to the processing of personal data for the administration of the trips.
Submission deadlines are governed by the current call for the academic year.

Approval of DF trips is done internally (faculty process).
Once approved, the DF OC will inform you of the next steps.

  • The DF OC usually informs the foreign school of your nomination.
  • The student then usually sends the application form and the required supporting documents (according to the rules of the host institution).

Typically, the following may be required (in English or the language of the institution):

  • application form (school form/application),
  • cover letter,
  • CV,
  • portfolio,
  • Transcript of Records – ZO DF helps with confirmation,
  • Learning Agreement / OLA (learning agreement – usually online, usually in ISOIS).

The foreign school will then send you information about your acceptance (and, once accepted, an acceptance letter with the exact dates of your mobility).

For some majors/years, you must have an approved Individual Study Plan (ISP).
Without an ISP (if it is compulsory for you) , you cannot go.

The ISP is submitted to the Study Department of the Faculty of Arts.

At the latest about 1 month before departure is usually resolved:
financial agreement (payment of the scholarship),
proof of travel health insurance (including accident and liability).

The scholarship is a contribution to increased living costs; normally, a certain student deductible is assumed.

You will usually deliver to the DF ZO:

  • Transcript of Records (completed courses),
  • Confirmation of Erasmus Study Period.

Come in:

  • complete the final report (EU Survey – link will be sent by email),
  • submit an internal final report (brief reflection for other students).

Without fulfilling the final obligations, the stay may not be recognised.

The JAMU Faculty of Arts recognises courses and ECTS obtained abroad in full.
Contact the head of the studio within 1 month after the end of your stay to make arrangements:

  • which foreign courses will replace which DF courses,
  • or recognition as a personal specialism.
